This notice explains what personal data Metric Golf Club collects, why we collect it, how long we keep it and what rights you have. It covers this website. Cookies and similar technologies are dealt with separately in our Cookie Policy.

What we collect, and why

If you apply for a job

Our application form asks for your first and last name, email address, mobile number, the hours and shift patterns you can work, your interest in golf, any relevant experience, anything else you want to tell us, and confirmation that you are aged 16 or over. The job title you applied for is recorded with it.

  • Why: to assess your application, contact you about it and manage recruitment.
  • Lawful basis: taking steps at your request before entering into a contract (Art. 6(1)(b)), and our legitimate interest in recruiting staff (Art. 6(1)(f)).
  • If you don't provide it: we can't consider your application. Only name, email, mobile, your interest in golf and the age confirmation are required; the rest is optional.

Please don't include special category data — health, ethnicity, religion, sexual orientation, trade union membership — in the free-text boxes. We don't ask for it and we don't need it to assess you.

If you register your interest

Our register-interest form asks for your name, email address, and optionally your phone number and birthday, so we can tell you about opening dates, pricing and offers. Submitting it sends those details straight to Mailchimp, who host the list for us.

  • Why: to send you news about the club.
  • Lawful basis: your consent (Art. 6(1)(a)). You can withdraw it at any time by using the unsubscribe link in any email, or by emailing us — it is no harder than signing up, and we will act on it without asking why.

If you email us

We keep the message and your contact details so we can reply and keep a record of the conversation. Lawful basis: our legitimate interest in responding to enquiries (Art. 6(1)(f)).

When you browse the site

If — and only if — you agree to analytics cookies, Google Analytics 4 collects data about the pages you visit, roughly where you are, and how you arrived. It is measurement, not identification. Lawful basis: your consent (Art. 6(1)(a)), which you can change at any time via . Full detail is in the Cookie Policy.

Our hosting provider also keeps standard server logs, including IP addresses, to keep the site running and secure. Lawful basis: legitimate interest in the security and availability of the site (Art. 6(1)(f)).

Who we share it with

We don't sell your personal data, and we don't share it for anyone else's marketing. We use the following processors, who act only on our instructions:

  • Siteglide / platformOS — website hosting and form submission storage.
  • Twilio SendGrid — sending the notification and confirmation emails triggered by our forms.
  • Google Ireland Limited — Google Analytics 4 and Google Tag Manager, only with your consent.
  • Intuition Machines (hCaptcha) — protecting our forms from automated abuse.
  • Intuit Mailchimp — storing the register-interest list and sending those emails. Your details go to Mailchimp directly when you submit that form.

We may also disclose personal data where we are legally required to, or to establish or defend legal claims.

Transfers outside the UK and EEA

Some of these providers process data outside the UK and EEA, principally in the United States. Where that happens the transfer is covered by the UK International Data Transfer Addendum and the EU Standard Contractual Clauses, together with additional safeguards where needed.

How long we keep it

  • Unsuccessful job applications: 12 months from the decision, so we can consider you for similar roles and answer any query about the process. Tell us if you'd rather we deleted it sooner.
  • Successful applications: transferred to your employment record and kept per our employment retention schedule.
  • Register-interest details: until you unsubscribe or ask us to delete them.
  • Email correspondence: 2 years from the last message.
  • Analytics data: retained by Google for up to 14 months, then deleted.
  • Server logs: short-term, for security and troubleshooting.

How we protect it

The site is served over HTTPS, access to form submissions is restricted to the people who need it, and our forms are protected against automated abuse. No system is perfectly secure, but we take appropriate technical and organisational measures and will tell you and the ICO about a breach where the law requires it.

Your rights

Under UK and EU data protection law you have the right to:

  • be told how your data is used — which is what this notice does;
  • get a copy of the data we hold about you;
  • have inaccurate data corrected;
  • have your data erased, in certain circumstances;
  • restrict how we use it, in certain circumstances;
  • object to processing based on legitimate interests, and to direct marketing at any time;
  • receive your data in a portable format, where it was provided by you and processed by consent or contract;
  • withdraw consent at any time, without affecting anything done before you withdrew it.

To exercise any of these, email [email protected]. We'll respond within one month. There's no charge, and we won't treat you differently for asking.

We don't make any decision about you by automated means alone, and we don't profile you.

Children

This site isn't aimed at children. Our application form asks you to confirm you are aged 16 or over, and we don't knowingly collect data from anyone younger. If you believe a child has given us their data, email us and we'll delete it.

Complaints

If you're unhappy with how we've handled your personal data, please tell us first so we can put it right. You also have the right to complain to the UK Information Commissioner's Office at ico.org.uk or on 0303 123 1113, or to the supervisory authority in your EEA country.

Changes to this notice

If we change how we use personal data we'll update this page and the date at the top. If the change is significant we'll tell you directly.
